Job Description
We are looking for an organised and proactive Facilities & Administration Assistant to join a leading law firm. This opportunity would suit someone who already has Facilities or Office Services experience, but we are equally interested in speaking with Legal Administrators, Legal Assistants or professional services administrators who have a genuine interest in developing their career within Facilities and Workplace Services. You do not necessarily need to come from a traditional Facilities background. If you currently work within a law firm or professional services environment and enjoy the operational side of the office, dealing with suppliers, supporting colleagues, coordinating meetings, resolving day-to-day issues and ensuring everything runs smoothly behind the scenes, this could be an excellent opportunity to move your career into Facilities. The successful candidate will support the day-to-day running of the office, working closely with the Facilities team and wider Business Services functions. Responsibilities will include supporting office and workplace operations, coordinating meeting rooms, assisting with contractors and suppliers, monitoring facilities requests, maintaining records and documentation, supporting Health & Safety requirements and providing a professional service to employees and visitors. You will need to be highly organised, approachable and comfortable dealing with people at all levels. Strong administration skills, attention to detail and the ability to prioritise several requests at once will be important. Previous experience within a law firm or professional services environment would be particularly advantageous, as would an understanding of the high standards of service expected within a professional office. This is an excellent opportunity for an experienced administrator who is looking to move away from purely legal administration and develop a long-term career within Facilities Management and Workplace Services. Key experience * Previous administration, legal administration, office services or facilities experience. * Experience working within a law firm or professional services environment would be advantageous. * Strong organisational and administrative skills. * Confident dealing with employees, senior stakeholders, visitors, contractors and suppliers. * An interest in developing a career within Facilities Management. * Strong customer service and communication skills. * Ability to manage competing priorities within a busy office environment. * Good IT skills and confidence maintaining records, trackers and documentation. * A proactive approach with the ability to identify and resolve day-to-day operational issues. * Willingness to learn areas such as Health & Safety, contractor management, workplace compliance and wider Facilities operations
