Administrative Assistant
Location: Bournemouth
Salary: £27,000pa plus bonus opportunities
Hours: Monday–Friday, 8:30/9:00am–4:30/5:00pm
Contract: Temporary to Permanent
Our growing and well-established property services client is looking for a motivated and organised Administrative Assistant to join their friendly team.
You’ll provide day-to-day admin support, manage new leads and customer enquiries, coordinate appointments and contractor schedules, liaise with the wider team and take ownership of client relationships to ensure everything is followed through to completion.
We’re looking for someone who is reliable, proactive and organised, with excellent communication skills and a positive attitude. Previous admin or customer service experience is preferred, but property experience isn’t essential, as full training will be provided.

Key Responsibilities of the Administrative Assistant:
Respond to all new leads immediately across phone, email, text and online enquiries
New leads to be phoned within 5 minutes, with Checkatrade leads within 1 minute
Book all new leads in for a survey
Monitor email inboxes and CRM chat boxes, ensuring every enquiry receives a prompt response
Coordinate appointments, site visits and contractor diaries
Liaise with Project Manager to ensure the smooth running of jobs and surveys
Take ownership of client relationships and ensure all requests and actions are followed through to completion
Arrange technicians, surveyors and revisits as required
Deal with customer complaints, ensuring they are logged, followed up and resolved
Keep Go High Level and the bespoke CRM system fully updated and learn the systems to a high standard
Maintain accurate customer and job records
Keep on top of day-to-day office administration and tasks delegated by management
Assist with invoicing, purchase orders and general financial administration
Welcome clients and visitors and help keep the office tidy and organised
Complete occasional office/client errands, such as dropping off certificates or guarantees and collecting printing
What we're looking for from the Administrative Assistant:
Previous administration, customer service or office-based experience
Strong organisational and time-management skills
Excellent communication and interpersonal skills
Excellent attention to detail
Proactive, responsive and able to take ownership
Confident speaking to customers and dealing with enquiries
Ability to manage multiple tasks and prioritise effectively
Comfortable using Microsoft Office, including Outlook and Word
Confident learning new systems and processes
Reliable, professional and keen to learn
Previous experience within property services, construction, maintenance or a similar environment would be desirable but is not essential
